Please read our terms and conditions when making your booking.
1. Booking and Payment
1.1 To confirm your booking, a non-refundable deposit is required. The amount of the deposit will be specified in the holiday description.
1.2 The remaining balance of your holiday price must be paid 12 weeks prior to departure. If the balance is not received by the due date, we have the right to treat the booking as cancelled, in which case the deposit will be forfeited. If booking is made within 12 weeks of departure, full payment is due at the time of booking.
2. Cancellation Policy
2.1 Should you wish to cancel your booking, you must notify us in writing. Cancellation charges are based on the date your cancellation is received, as follows:
6-12 weeks before departure: 50% of the total holiday price
4-6 weeks before departure: 75% of the total holiday price
1-4 weeks or less before departure: 100% of the total holiday price
2.2 For workshops or short tours, if cancellation occurs within 12 weeks of the event, no refund will be given unless we can resell your spot. If cancelled earlier, we may issue a refund, minus a £20 admin fee for holidays under £1000, or £50 for holidays over £1000.
3. Confirmation of Booking
3.1 The receipt of your deposit does not automatically confirm your booking. A contract between you and Eight Peaks Photography Tours will be established once we send you a confirmation email.
4. Alterations or Cancellations by Eight Peaks Photography Tours
4.1 We reserve the right to alter or cancel your holiday if necessary. In case of cancellation, we will offer you the option to:
Accept the change or
Select an alternative holiday, with a refund for any price difference if applicable or
Withdraw from the contract, receiving a full refund for all payments made.
4.2 If we cancel the trip for reasons not related to underbooking or force majeure (as defined below), we will provide compensation as follows:
More than 56 days before departure: no compensation
56-43 days before departure: £10 per person
42-29 days before departure: £15 per person
28-15 days before departure: £20 per person
14-0 days before departure: £25 per person
4.3 Force Majeure includes unforeseen events beyond our control, such as war, natural disasters, pandemics, or adverse weather.
5. Underbooking
5.1 If a holiday is underbooked and we need to cancel, we will do so no later than 30 days before departure. For multi-tutor holidays that are underbooked, we may reduce the number of tutors or participants accordingly.
6. Substitution of Tutor or Tour Leader
6.1 If a specified tutor is unable to attend due to unforeseen circumstances, we will provide an alternative tutor. If no suitable replacement is available, the tour will be cancelled, and you will be entitled to a refund as per the policy in Section 4.
7. Price Changes
7.1 Prices for your tour are subject to change up until the point a contract is established. Any price changes will be communicated to you before booking confirmation.
8. Special Requests
8.1 If you have specific dietary requirements or other requests, please inform us ahead of your departure. While we will pass on these requests to relevant service providers, we cannot guarantee they will be fulfilled.
9. Insurance
9.1 It is mandatory for all participants to obtain comprehensive travel insurance before embarking on the tour. This insurance should cover cancellation, accidents, medical and repatriation costs (for overseas trips), loss of personal items, and any flight-related issues.
9.2 We recommend providers such as SafetyWing, True Traveller, or World Nomads, but you’re free to choose your own policy. Proof of insurance will be required before your holiday begins.
10. Financial Protection
10.1 Your peace of mind matters to us. All client payments are fully protected through our financial protection scheme, in compliance with UK/EU Package Travel Regulations. This ensures that, in the unlikely event of our insolvency, your money is safe and secure.
11. Flight and Transfer Arrangements
11.1 If included, transfers are only applicable to participants traveling on the flights specified by us. If you are traveling on different flights, you will be responsible for arranging and paying for your own transfers.
11.2 You are responsible for booking your flights. Eight Peaks Photography Tours is not liable for any expenses or inconvenience caused by delays, cancellations, or any issues with the airline.
12. Itinerary Flexibility
12.1 Our tours require a degree of flexibility. The itinerary is intended as a general guide, and there may be necessary changes due to weather, availability of services, or other unforeseen factors.
13. Liability
13.1 Eight Peaks Photography Tours will not be held responsible for any injury, illness, loss, or damage caused to you or any member of your party, except where it results from our negligence.
13.2 We are not responsible for any additional costs or expenses arising from events outside our control, such as delays or cancellations caused by the airline, natural disasters, or strikes.
14. Travel Documents and Health Requirements
14.1 You must ensure you have valid passports, visas, and any necessary medical certificates required for travel. It is your responsibility to check entry requirements and obtain all the necessary documentation.
15. Medical Disclosure
15.1 At the time of booking, you must disclose any medical conditions or special needs. We reserve the right to assess whether your condition will affect your ability to safely participate in the tour.
16. Complaints
16.1 If you encounter any issues during the tour, please notify the tour leader immediately. If the problem cannot be resolved, you must submit a written complaint to us within 28 days of the tour’s completion.
17. Fitness Requirements
17.1 By booking a tour, you confirm that you and everyone in your group are in sufficient physical condition to participate in the activities described. It is your responsibility to ensure you meet the fitness requirements outlined in the tour description.
18. Acceptance of Terms
18.1 By submitting your booking, you confirm acceptance of these terms and conditions. The individual making the booking is responsible for ensuring that all members of their group are aware of and agree to the terms.
